Spare Parts and Warranty Questions to Include in a Paper Cutter RFQ
A paper cutter’s purchase price is only one part of ownership risk. An RFQ should make future support measurable: which parts wear, what fails rarely but stops production, how quickly a response begins and what the warranty actually covers.
Separate consumables from critical spares
Ask the supplier to classify knife blades, cutting sticks, filters and lubricants separately from electrical, hydraulic and safety-critical parts. Request part numbers, recommended quantities, storage conditions, expected life and lead time for each group.
For a plant running QZK920, QZK1370C or QZK1300, the stock list should reflect the actual configuration, not a generic model family. Confirm whether components are standard, locally available or manufacturer-specific.
Define warranty coverage precisely
The RFQ or contract should state the warranty start date, duration, covered components, labor or remote support, freight responsibility and exclusions. Clarify how wear parts are treated and what evidence is required for a claim.
Also define the response process: where the buyer reports a fault, what information must be supplied, when the supplier acknowledges it and how remote diagnosis or replacement is arranged. A promise of “after-sales service” is not an SLA until these steps are written down.
Plan for downtime
Ask for recommended stock at commissioning and the normal dispatch time for urgent parts. Identify temporary workarounds and whether the machine can run safely in a reduced mode. Do not bypass a safety or hydraulic component to maintain production.
For imported machines, include customs documents, packaging requirements and the destination service contact. Ask whether manuals and parts lists use consistent identifiers across drawings, software and invoices.
RFQ questions to copy
- Which parts are consumable, wear, critical or safety-related?
- What are the part numbers, prices and lead times?
- What does the warranty cover and exclude?
- What is the acknowledgement and response process?
- What evidence is needed for a claim?
- Which commissioning spares are recommended?
- Who supports installation and operator training?
